Exhibitor terms

Exhibition booth hire starts from 7 am on 3 October and ends at 6 pm on 4 October 2018.

The exhibition booth hire includes monochrome company name print in English on the front panel, hire of 0.7 m table, 2 chairs, 2 spotlights & access 220 V electricity

Additional equipment and furniture could be hired at extra cost (please enquire).

All exhibitors (excluding poster & banner presenters) are entitled to their profile listing on the Forum website and Catalogue.

All exhibitors (excluding poster & banner presenters) are entitled to one complimentary presentation at the Forum, MineTech or MineVenture competitions.

All exhibitors (excluding poster & banner presenters) are entitled to 50% discount for purchasing additional delegate tickets.

The Exhibitor Option 1 includes hire of a booth (2 m length x 2 m depth x 2.5 m height) and 2 admission passes to the Forum and Gala Dinner. The Exhibitor Option 2 includes hire of a booth (3 m length x 2 m depth x 2.5 m height) and 3 admission passes to the Forum and Gala Dinner. The Exhibitor Option 3 includes hire of a booth (4 m length x 2 m depth x 2.5 m height), complimentary advertising page in the Forum Catalogue and 4 admission passes to the Forum and Gala Dinner.

Tabletop exhibitor option includes hire of a table, chair and small area for a mobile exhibition stand (maximum width up to 2 m and height up to 2.5 m), one admission pass to the Forum and Gala Dinner.

Poster presenter options include hire of one panel (1 m wide x 2 m high) from 7 am on 3 October and end at 6 pm on 4 October 2018. The hire excludes admission to the Forum and poster production.

Advertising

All advertisements and inserts must be submitted before 14 September 2018 in accordance with the technical specifications (please enquire). The Forum organisers reserve the right to remove advertising should the advertiser fails to pay the full fee prior to the Forum.

 Payment

All fees can be paid by Bank Transfer or by debit or credit card (via PayPal).

 Admission

The Forum organisers reserve the right to refuse entry to delegates or exhibitors who have failed to pay the full fee prior to the start of the Forum.

 Cancellation

Cancellations submitted in writing to admin@minexforum.com before 25  September 2018 will be subject to 10% administration fee. No refunds will be made after 25  September 2018. Substitutions are accepted at any time, provided new delegate has the Russian visa. At the discretion of the Forum organisers a credit note can be issued in case of cancellation received after 25  September 2018.

All presenters must pre-register for the Forum and pay registration fee unless exceptions were pre-agreed with Organisers.

NB: Speakers presenting on behalf of sponsor or exhibitor will be provided with complimentary admission in accordance with sponsorship and exhibitor terms.

DATES TO REMEMBER

In order to market presentation appearance at this event via website and advertising, speakers are kindly requested to submit speaker application forms before 10 September.

Once the application has been approved, speakers will be required to:

Before 1 September –  Arrange admission payment (applicable to independent speakers who did not register as Sponsors or Exhibitors)

Before 15 September – Submit presentation slides (Standard 4:3 format) and additional notes to be included in the delegate handout materials. Documents are accepted in PDF, Word, PowerPoint

Before 25 September – Submit slides (Standard 4:3 format) in PowerPoint (PPT or PPTX) or PDF for onscreen presentation.

If the file size exceeds 10 MB, please upload it on any file exchange server e.g: http://wikisend.com, https://disk.yandex.ru, https://files.mail.ru/  www.dropbox.com, www.filecloud.me, https://dropmefiles.com  and email the link to the file to slides@minexforum.com
